DATA PROTECTION/PRIVACY POLICY

1. Policy Statement

Brent Parent Carer Forum CIC is committed to protecting the privacy and personal information of members, parent carers, children and young people, volunteers, staff, directors, partners and supporters. We comply with the UK GDPR and the Data Protection Act 2018.

2. Scope

This policy applies to all directors, employees, volunteers, Parent Champions, contractors and anyone processing information on behalf of Brent Parent Carer Forum CIC.

3. Data Protection Principles

Personal information will be processed lawfully, fairly and transparently; collected for specified purposes; limited to what is necessary; kept accurate; retained only as long as needed; stored securely; and managed in a way that demonstrates compliance.

4. Information We Collect

We may collect names, contact details, membership records, volunteer records, event bookings, SEND-related information where necessary, consultation responses and safeguarding information where appropriate.

5. How We Use Information

We use personal information to deliver services, administer memberships, communicate with families, organise events, recruit volunteers and Parent Champions, manage projects, meet legal obligations and produce anonymised reports for funders.

6. Information Sharing

We only share information where there is consent, a legal obligation, a safeguarding concern or another lawful basis. We never sell personal information.

7. Information Security

BPCF uses password-protected systems, secure storage, restricted access, confidential disposal of records and regular GDPR awareness for staff and volunteers.

8. Individual Rights

Individuals have the right to access, rectify, erase, restrict or object to processing, request data portability where applicable and withdraw consent where processing relies on consent.

9. Data Breaches

All suspected data breaches must be reported immediately to the Data Protection Lead. Breaches will be investigated, recorded and reported to the ICO where required.

10. Data Retention

Information is retained only for as long as necessary in line with legal, contractual and funding requirements before being securely destroyed.
